How do I add an Aggregator to my proposal?

  1. Open the proposal that needs another aggregator.
  2. Open Access section.
  3. Enter the user ID (Kerberos ID) or first/last name in the search criteria and click search to display results.
  4. Select the person and then return results. This will open the add permissions pop-up.
  5. Select Aggregator Only Document Level for the individual and click Add.

Note: The individual must have a Kuali Coeus account to be added as an Aggregator.

How do I delete a current lock?

A lock results from having multiple sessions/screens open for one proposal, or from exiting a prior work session improperly. An improperly ended session, will cause Kuali Coeus to think that someone still has the record open, and it's preventing those last updates from being changed by what it perceives as another person.

  • From the home dashboard, click the View Pessimistic Lock from the Quicklinks section.
  • Enter search criteria, such as the document number, and click search.
  • Click delete in the actions column to remove the lock. The lock will now be removed.

Note: if you do not see any locks listed in the Pessimistic locks, and you are still unable to edit your proposal, please contact ra-help@mit.edu.

How do I determine if I need to use Proposal Hierarchy?

When considering a proposal hierarchy, it’s important to remember a proposal can be routed to multiple participating, non-lead units without using Proposal Hierarchy. (See http://kc.mit.edu/category/faq/routing). Also, anticipation of an Award Hierarchy structure does not necessitate a Proposal Hierarchy. For additional guidance, use the following chart to determine if a proposal hierarchy is needed:

How do I enter under-recovery information using the Coeus budget module?

Under-recovery may be generated for several reasons. Either:

  1. The Sponsor will not pay the Institute's full F&A expenses.
  2. The Sponsor uses a different indirect cost base, such as Total Direct Cost (TDC).
  3. The Sponsor uses a different rate than the current Institute rates, such as a fixed-for-the-life award.

How Do I include a Data Management and Sharing Plan (DMS Plan) in NIH Proposal Applications?

The DMS Plan should be included on:

  • PHS 398 Research Plan Form, field #11 or
  • PHS 398 Career Development Award Supplemental Form, field #17

The DMS Plan should be:

  • two pages or less in length
  • in PDF format
  • have a Title length of no more than 50 characters (including the ‘.PDF'). 

The following Elements are to be included:

  1. Data Type
  2. Related Tools, Software and/or Code
  3. Standards
  4. Data Preservation, Access, and Associated Timelines
  5. Access, Distribution, or Reuse Considerations
  6. Oversight of Data Management and Sharing

How do I mark my final budget “For Submission?”

While in the Proposal screen, click the Budget panel. For the Budget Version that you want to submit which should have a Status of "Complete", click the Actions button in the Actions column and select Include for Submission.
