Do the MIT Internal Attachments go to Grants.gov, or are they only for internal use?
MIT Internal attachments are not transmitted to grants.gov. The following Attachment and Narative Types in Kuali Coeus will not be transmitted to Grants.gov:
- MIT Cost-Sharing Distributions
- MIT F&A Under-Recovery Distribution
- Other Institutional Attachment
- Institutional Narrative 1
How do I print out a full version of a System to System (S2S) proposal?
You can print the forms from the Grants.gov window.
Some federal agencies allow you to download/print exactly what the sponsor sees once the application is submitted via Grants.gov and retrieved by the agency. For instance, for NIH your PI will be able to log in to the NIH Commons and view the grant image exactly as the reviewers will see it. As sponsor systems may each reassemble the grants.gov application elements in a different order to meet their internal standards, we cannot match all the sponsors' specific application ordering.
If I upload both a word doc and a pdf doc to a narrative module, for a Grants.gov submission, are both files types for the module transmitted?
Please read the solicitation for instructions on what to include in your application. Many require use of PDF files when uploading attachments. However, Kuali Coeus is able to transmit other types of files (e.g. Word, PPT). If you have any questions please contact ra-help@mit.edu
How do I enter my username into the data field labeled “Credential, e.g. agency log in for my CDMRP proposal?
This username field is available in the proposal development document. To find this field, complete the following steps:
- This should be entered in the Key Personnel section, Personnel sub-section.
- From there, open the person details by clicking the arrow next to the personnel.
- Then, navigate to the details tab for the Personnel, and enter the username in the eRA Commons Username field.
How can I print/preview my Kuali Coeus prepared S2S Grants.gov application?
- Open the proposal
- Navigate to the S2S Opportunity Search, Forms subpanel.
- Select all the Mandatory and Optional forms wanted to print/preview
- Click Create PDF to compile the PDF file of the Grants.gov Forms.
- Save the file to your computer.
Note: As sponsor systems may reassemble the grants.gov application elements in a different order to meet their internal standards, we cannot match all the sponsors' specific application ordering.
How do I use Kuali Coeus to submit proposals to non-government sponsors?
Many of the narrative types available for selection are based on the grants.gov forms application. However, there is a set of Narrative Types that are available for all proposals, including non-government, and non-grants.gov linked submissions.

How can I tell if my S2S proposal has passed through the Grants.gov system?
If the proposal was submitted via Kuali Coeus to Grants.gov System to System (S2S) you can check the status in Kuali Coeus by opening the development proposal, going to the S2S Opportunity Search tab. Then click on the Submission Detail sub tab for the status. You can also click refresh for the most recent update.
If the proposal was submitted by an RAS liaison or credentialed CA from an Adobe package, you should check with the submitter as they would have received the emails from grants.gov and are able to log in to check status at grants.gov.
How can I link to, and if necessary, remove, a Grants.gov opportunity?
A Grants.gov opportunity can be linked to a Kuali Coeus proposal by navigating to the S2S Opportunity Search tab, under the > Basics section.
- Then, click the Find an Opportunity button to open the S2S Opportunity Search pop-up.
- From there, enter either a Valid Program No./Sponsor Opportunity No. or a CFDA No. into the associated field.
- Additionally, select Grants.gov as the Search Domain before clicking the Search button to display results.
- Then select the appropriate opportunity and add it to the proposal. If your opportunity is not available, and it is a Grants.gov submission, email ra-help@mit.edu so investigate. If your opportunity is not available and it is not a Grants.gov submission, confirm that it is not a Research.gov submission by searching under the Research.gov Search Domain.
- Once completed, the Proposal Header section will show that this proposal is linked with a S2S Opportunity.
- To remove an opportunity, click the Delete Opportunity button. This will change the Proposal Header section and unlink the opportunity.

MIT is the lead and we have another organization submitting as a sub to us. Question: How will their information make it into the Profile Key Senior/Key Person section of Grants.gov utilizing Kuali Coeus?
First, an Address entry will need to be created for the non-MIT personnel (requests may be made through the online forms found here: http://kc.mit.edu/forms). Please confirm that the non-MIT Personnel has an address entry. Then refer to the Investigator/Key Person Certification Quick Reference Card for detailed instructions on how to certify non-MIT personnel.
Do I need to request AOR status from Grants.gov?
AOR status is not necessary in order to download or prepare an Adobe forms application package. MIT is fully registered with grants.gov and the required AOR role is held by the RAS Sponsor Liaisons and or credentialed CAs who submit the proposals to grants.gov. Neither DLC users nor their PI needs to register with grants.gov.
To search for an application package in Grants.gov, go to www.grants.gov and choose “Search Grants”, and then enter the Funding Opportunity # or CFDA Number. Please note, before downloading an application, you should check that you have the correct version of Adobe by following the instructions under the "Verifying Adobe Reader" section under the Support tab.
Please note: Most federal proposals are candidates for a System to System (S2S) submission from Kuali Coeus. Kuali Coeus will link to Grants.gov and populate forms with information and files entered into a Kuali Coeus proposal. How can I tell if an opportunity is eligible for Grants.gov submission?
To find out if you can use Kuali Coeus for System-to-System (S2S) submission, in your proposal development document, you must locate your funding opportunity. To do this, complete the following steps:
- Navigate to the S2S Opportunity Search tab, under the Basics section.
- Then, click the Find an Opportunity button to open the S2S Opportunity Search pop-up.
- From there, enter either a Valid Program No./Sponsor Opportunity No. or a CFDA No. into the associated field.
- Additionally, select Grants.gov as the Search Domain before clicking the Search button to display results.
- Then select the appropriate opportunity and add it to the proposal.
- If your opportunity is not available, and it is a Grants.gov submission, email ra-help@mit.edu.
- If your opportunity is not available, or you are unable to look it up, please confirm that it is an S2S submission. If it is, please email ra-help@mit.edu.
Will Kuali Coeus replace NSPIRES for submission of NASA grant proposals?
NASA is still transitioning, but more opportunities are being posted on Grants.gov, which means it could be an opportunity to use Kuali Coeus for s2s submission. The Kuali Coeus team has put several NASA-specific forms into the MIT Production environment, and we have successfully submitted to NASA via Kuali Coeus s2s.
Why can’t I see the User Attached Form when I print/preview my Kuali Coeus prepared S2S Grants.gov application?
User Attached forms will only display from the proposal’s S2S Opportunity Search screen’s User Attached Forms tab. Select the Action dropdown under Actions column for the listed attached document. Select View PDF to display.
The user attached form will be listed on the proposal’s S2S Opportunity Search screen’s Forms tab with a radio button to select for purposes of creating a PDF. However, the form will not display from here. In order to view navigate to the User Attached Forms tab as instructed above.
On the SF424 form, how do I add information to Field 4.a and/or 4.b?
- In the left-hand navigation column of your proposal, click on Basics, then Sponsor and Program Information
- Add required information as indicated below:
Field 4a: Sponsor Proposal ID (aka Federal Identifier)
Field 4b: Agency Routing ID (aka Agency Routing Number)
